Job Description:
Our client is seeking a highly organized and diligent Document Controller to support project teams in the construction or oil & gas industry. The successful candidate will be responsible for managing and ensuring the integrity of all project documents. This role involves setting up and maintaining a records/data management system that captures all control requirements, including quality assurance and systems automation. The position offers a hybrid work schedule, allowing for a balance between office presence and remote work flexibility.

Responsibilities:

  • Prepare and maintain up-to-date control records, documenting receipt of service requests, document and revision numbers.
  • Assist in conducting internal audits and inspections to ensure compliance with established procedures and efficient, cost-effective service delivery.
  • Assist in the preparation and review of work procedure and standards documents.
  • Compile various monthly department reports and maintain internal and external communication records for project-related documents.
  • Coordinate the document control distribution to ensure that all documents and drawings sent, received, or archived are properly controlled within master records.
  • Prepare and issue document packages in accordance with customer requirements and project schedules.
  • Check own work for compliance with quality assurance and quality control procedures and make recommendations for improved document control techniques.
  • Develop and maintain strong cooperative relationships across all levels of the organization, ensuring smooth and efficient document control processes.

Qualifications:
  • Minimum of 2 years of related experience in an office environment, preferably within the construction or oil & gas industry.
  • Strong familiarity with engineering and construction industry practices, processes, and standards.
  • Experience with vendor documentation and document control software such as ADEPT, Hexagon, or Aconex is highly preferred.
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously under tight deadlines.
  • Strong proficiency in Microsoft Office applications, including Word, Excel, and Outlook, as well as Adobe PDF and SharePoint.
  • Proven ability to follow strict quality assurance and control procedures.
  • Effective communication skills, both written and verbal, with the ability to engage professionally with individuals at all organizational levels.
  • Team-oriented attitude with a willingness to support all departments as needed.
  • Proactive approach to problem-solving and strong sense of urgency in work execution.
  • Availability for occasional overtime to meet project demands.


Pay Range: $20.00 – $24.00 Hour

This position offers a hybrid schedule, with time split between the office and remote work.
