A detail-oriented project support specialist responsible for organizing and managing project documentation, tracking performance metrics, and facilitating effective communication within design teams. This role involves coordinating with internal teams to ensure project milestones are met and records are accurate and up-to-date. It requires strong organizational skills, proficiency in Microsoft Excel, and the ability to manage multiple tasks efficiently in a fast-paced environment.

Responsibilities

  • Collect, organize, and maintain project-specific documents, including floorplans and design files, ensuring readiness for the design team.
  • Create and manage project folders, streamlining processes to centralize essential information and ensure records are current.
  • Utilize Excel to export, filter, and analyze project metrics such as design totals, late items, and other performance indicators.
  • Generate accurate reports to track project progress and identify potential bottlenecks or delays.
  • Serve as the primary point of contact for routing design questions, resolving missing elements, and implementing required changes in coordination with internal teams.
  • Manage email communications and tasks within Office 365 tools to facilitate effective information sharing and timely problem resolution.
  • Participate actively in weekly team meetings to share updates, socialize project statuses, and address outstanding issues.
  • Foster collaboration and maintain consistent communication with the design team, supporting project workflows under team guidance.
  • Monitor project documentation and communication flow to ensure deadlines are met and information is properly recorded.
  • Assist in process improvements to enhance documentation accuracy and team collaboration efficiency.

Qualifications

  • Previous experience in project coordination, document management, or a related administrative role.
  • Proficiency in Microsoft Excel, including data filtering, exporting, and analyzing metrics.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Excellent written and verbal communication skills.
  • Familiarity with Office 365 tools such as Outlook and Teams.
  • Capability to work effectively both independently and as part of a collaborative team.
  • Ability to handle sensitive information with discretion and professionalism.
  • Availability to work On-Site in a designated office location.
  • Must be legally authorized to work in the United States without employer sponsorship, now or in the future.

Publishing Pay Range: $20.00 – $25.00 Hourly

This position is based in office and requires employee to work on-site.
