AI allows us to deliver smarter, faster, and more personalized services to our employees and customers. However, we recognize the need to handle personal data responsibly and ethically when using AI technologies. This policy explains how AI is integrated into our operations, how we manage data, and what rights you have regarding decisions influenced by AI.
- How does GDH use artificial intelligence?
We leverage AI technologies in various areas of our business to provide enhanced services and improve efficiency for our employees and customers. The use of AI may include the following areas:
- Human Resources: Supporting recruitment and talent management processes by pre-screening documents, identifying relevant information, transcription or summaries of discussions to assist in recruiting, or refining search and filtering activities to assist in matching individuals with opportunities;
- Internal Operations: Assisting with daily tasks involving documents, images and other content (e.g. creating summaries, translations, content generation), facilitating information searches in databases and online, aiding in business operations, management, and development, and enhancing task prioritization and workflow automation;
- Security, Combating Abuse: Detecting suspicious activity in emails (e.g. malware), communications, transactions, or in our networks;
- Customer Care: Efficiently addressing inquiries (e.g. chatbot), documenting customer interactions (e.g. by creating transcripts, logs, or summaries) analyzing these interactions to improve quality, and assisting in communications (e.g. drafting emails);and
- Data Analytics: Analyzing data (e.g. transactions, website usage) to identify patterns or purposes such as market research, product development, AI model training, or for personalizing content to align with individual interest.
We regulate the use of AI internally through our AI Governance framework, policies and procedures, comply with applicable AI legislation, and ensure appropriate human decision-making and supervision where certain important matters are concerned. Where we offer engagement with AI-driven dialogues, we will clearly disclose the involvement of AI.
- What is the purpose, scope, and function of GDH’s AI tools used to process candidates’ personal information in the recruitment process?
We use artificial intelligence tools (“AI Tools”) to improve the efficiency and effectiveness of our recruitment process. The AI Tools help us evaluate information that you provide us, and that we generate about you during the recruitment process, such as your resume/CV, personal information submitted through an application form, and responses to questions or skills assessments that you agree to complete. The AI tools may, for example, sort through large numbers of applications to identify candidates who meet the criteria for the position sought and/or who are most qualified for the position, to score candidates’ responses to questions or assessments presented to candidates in the recruitment process, or to identify positions for which a candidate may not have applied, but may be of interest to the candidate.
AI Tools may assist with an initial assessment of candidate applications based on certain job criteria (e.g., geographic ineligibility). These decisions are: (i) based on objective, pre-defined requirements; (ii) designed to aid efficiency and consistency; and (iii) subject to oversight by our recruitment team. When we use an AI Tool to determine whether candidates are eligible for the position sought, to rank a candidate’s application as compared to others, or to score candidates’ responses to questions or assessments, outputs generated by the AI Tool could be used as a factor in a human decision not to hire a candidate for the position sought. You will be notified of such decision-making and may contact us if you believe your application was rejected in error.
Regardless of the recommendation made by the AI Tools, all candidates’ resumes are made available to our recruiting team for review. AI Tools may also be used to recommend roles that match candidates’ interests, skills, and goals. You may withdraw your consent at any time by either changing the “manage preferences” settings by clicking the button in the bottom of an email if applicable, or by sending an email to privacy@gdhinc.com.
AI Tools may assist in transcribing and summarizing meeting notes to assist in the recruiting process with candidates and clients. Consent will be requested and required prior to the use of AI notetaking.
When applicable law requires that we rely on a lawful basis for processing candidates’ personal information other than consent, we will process your personal information using AI Tools only as necessary to determine whether to enter into an employment agreement with you or, if and as permitted by applicable law, to pursue our legitimate interests in recruiting the best candidates to work for us.

To enable AI systems to function effectively, certain types of data are required. We collect and use this data in strict accordance with legal and ethical standards. Our data governance policy ensures that data is handled securely and transparently.
What data do we collect?
- Personal Information: This includes basic details like your name, contact information, and any data you provide to us.
- Usage Data: Information about how you interact with our services, including browsing activity, transaction history, and behavioral patterns.
- System and Device Data: Technical data such as IP addresses, browser types, and device details.
How is this data used with AI?
- Model Training: We may use anonymized or aggregated data to train and improve AI models, ensuring they continue to perform effectively and responsibly.
- Service Optimization: AI uses data to enhance your experience, ensuring that recommendations and services are relevant and timely.
- Bias and Fairness Checks: We regularly analyze data used in AI models to ensure that outcomes are fair, non-discriminatory, and aligned with ethical standards.
- Your Rights Over AI and Data
We believe in empowering individuals by giving them control over how their data is used, especially in the context of AI systems. You have rights over your data and decisions influenced by AI, in particular use of Automated Decision-Making Technology (“ADMT”) to assist in making certain recruitment decisions, such as employment or contracting opportunities. ADMT refers to technology that processes personal information and uses computation to replace or substantially replace human decision-making. This technology often relies on algorithms, AI or machine learning. At GDH, all final employment or contracting decisions are made by a human.
Right to Explanation: If an AI system influences or makes a decision that affects you, you have the right to request a clear explanation of how the AI arrived at that decision. We will provide a non-technical, understandable breakdown of the factors involved.
Right to Appeal: If you believe a significant AI-influenced decision was unfair or incorrect, you have the right to appeal. Human oversight is built into our decision-making processes, ensuring that any contested AI decisions are reviewed by a qualified team member.
Right to Opt-Out of AI Decisions: In certain cases, you can choose not to have decisions made solely by AI systems. Where possible, we offer the option for individuals to request human involvement in significant decisions.

Rights under CCPA and GDPR:
- If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know how your data is used, the right to request deletion, and the right to opt out of the sale of your data (GDH does not sell your data).
- If you are in the European Union, the General Data Protection Regulation (GDPR) grants you the right to access, rectify, delete, or restrict the use of your data, as well as the right to object to certain types of AI-driven data processing.

We are committed to meeting our compliance obligations under applicable laws and their regulations on the use of ADMT. Full compliance with the protections of applicable laws and their regulations will be implemented pursuant to those regulation’s timelines.

- Accountability Framework: Ensuring human oversight in critical decisions influenced by AI, especially in areas like hiring, and customer service.
- Training and Education: Regular training for our employees on ethical AI usage and compliance with relevant laws, including CCPA and GDPR.
