Job Description:
Our client is seeking a dedicated and detail-oriented Office Admin to join their team. This role is pivotal in supporting the engineering and HR departments with various administrative tasks. The ideal candidate will be responsible for ensuring smooth operations within the office, assisting with meeting preparations, and managing office supplies. This full-time position is based on-site, providing an opportunity to work closely with diverse teams and contribute to our company's success.

Responsibilities:
  • Provide comprehensive administrative support to the Engineering staff, including creating spreadsheets, organizing electronic files, and following up on outstanding tasks or documents.
  • Assist the HR department with new hires, including organizing drug screens, creating badges, and preparing welcome boxes and office spaces.
  • Handle the creation of expense reports for Management Team members as needed.
  • Schedule and coordinate meetings, appointments, and travel arrangements, and manage catering for meetings and company events.
  • Maintain inventory control for office supplies and break room items and act as the point of contact for building maintenance and facility issues.
  • Receive, sort, and distribute mail, documents, packages, and courier deliveries, while also managing outgoing correspondence.
  • Assume receptionist duties, greet visitors, screen and route calls, and take messages as appropriate.
  • Keep common areas such as the kitchen tidy and contact building maintenance for any facility-related issues.

Qualifications:
  • Minimum of 2 years' experience in general administrative roles, preferably supporting engineering or HR departments.
  • Intermediate to advanced proficiency in Microsoft Outlook, Word, and Excel.
  • Excellent communication skills with a proven ability to maintain confidentiality.
  • Strong organizational skills and attention to detail.
  • Ability to prioritize tasks and manage multiple projects under tight deadlines.
  • Capability to work effectively under pressure while maintaining a professional demeanor.
  • Strong commitment to providing exceptional customer service.
  • Professional appearance and a positive, proactive attitude.
  • Willingness to assist with a variety of tasks and support multiple team members.
  • Must have a strong sense of responsibility and integrity.

Pay Range: $18.00 – $24.00 Hourly

This position is based in office and requires the employee to work on-site.
