Role Summary
The Document Controls Specialist manages and oversees project and organizational documentation throughout its lifecycle, ensuring accuracy, security, and easy accessibility. This role supports efficient project execution by maintaining consistent document control processes, version management, and compliance with organizational standards. The specialist collaborates across teams to verify document integrity and adheres to regulatory requirements.
Responsibilities
- Process incoming and outgoing documents, including transmittals, submittals, RFIs, drawings, specifications, and reports.
- Monitor and manage document revision workflows for timely review, approval, and distribution.
- Verify the accuracy and completeness of documents prior to filing and dissemination.
- Organize and maintain electronic and physical filing systems for easy retrieval and secure storage.
- Collaborate with project managers, engineers, contractors, and vendors to facilitate prompt exchange of documentation.
- Serve as a point of contact for document control inquiries and provide guidance on procedures and standards.
- Ensure all documentation complies with organizational, regulatory, and project-specific standards.
- Maintain version control and audit trails for all controlled documents.
- Generate document control logs, status reports, and performance metrics regularly.
- Provide updates to project teams and leadership regarding document status and outstanding actions.
Qualifications
- 7-12 years of experience in document control, project administration, or records management.
- Experience with industry-standard document control systems.
- Strong organizational skills with excellent attention to detail.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Strong communication and interpersonal skills.
- Understanding of project workflows, engineering documentation, and construction processes.
- Proficiency in Microsoft Office Suite.
- Available for hybrid work schedule.
- Must be legally authorized to work in the United States.
Publishing Pay Range: $40.00 – $50.00 hourly
This position offers a hybrid schedule, with time split between the office and remote work.
